Why has a parent not received an email/SMS asking them to register for ParentMail?

Please check that the email address and mobile number you hold for the parent is correct. Click here for help editing a parent’s information in ParentMail. Once you have added the correct information you can click here to find out how to send out a new verification link to your parent.

If the email address and mobile number is correct, the verification link may have been delivered to their Junk/Spam folder. Please ask the parents to check this folder and make sure that info@parentmail.co.uk is added to their address book. You can then resend the email verification out again, via ‘Users’ then ‘List’. Type the parents name in the search bar and click Enter. Once you can see the parent record on the right hand side, click on ‘Actions’ and ‘Send Email registration’

How can I get my parents to register for ParentMail?

We recommend you send a letter to parents letting them know that you’ll be using ParentMail to communicate with them from now on. Please find below our available template letters:

Letter to parents – Text and Email only
Letter to parents – All applications
Letter to Parents – Upgrade from ParentMail 1 to PMX

We also have template letters for you to use if you would like to let parents know that you will be using Online Payments, Parents Evening Manager, or your own school branded app:

Once you have sent this letter home to parents, we recommend you resend registration messages home by SMS or Email to encourage them to register. See below for more information.

How do I resend registration messages in bulk?

Go to Settings on your left hand menu and select General from the sub menu. You now have two options for resending invites:

  • Resend Email Verification – This button will send a verification link via email to all unverified parents with an email address.
  • Resend SMS Verification – This button will send a verification link via text message to all unverified parents with a mobile number. Please note – this will cost 1 text credit per parent (which equates to approximately 5p per parent in real money terms).

How do I send a registration message to an individual?

To resend a registration email or text to an individual parent, search for the user within the Users List. Select ‘Actions’ and select the ‘Send Email Registration’ or ‘Send SMS Registration’.

What is SMS Verification?

Enabling this function will allow ParentMail to send out verification messages via text. This means that you don’t need to have the parent’s email address up front to get them registered!

Once this setting is enabled, anytime a new mobile number is added to ParentMail, an automatic verification message will be sent via text providing that they have not already registered.

Please note, this will cost you 1 text credit per SMS. Schools that use this function notice a much higher percentage of registered parents than schools that don’t.

Why is it important that my parents register on ParentMail?

Once a parent registers, they will be able to access ParentMail with their own login – their username will be the email address they have registered with. They have the option to update their own contact information (which the school can see) and can also download the ParentMail App. If your school is using Payments, Forms, Meetings and Events, Parents Evening Manager or Online Absence Reporting your verified parents will have full access to these applications as well.

What is an unverified/unregistered parent?

An unverified parent is somebody who is on your ParentMail system but has not yet approved their connection to your school. They can still be sent emails or text messages but they will not have access to the other functions that ParentMail offers such as the App, Forms or Online Payments.

Reports - Parent - Connection Status Report

  1. To view a report of all unverified parents, click on ‘Reports’ on the left-hand menu
  2. ‘General Reports’
  3. ‘Parent – Connection Status Report’
  4. Click ‘Generate Report’
  5. Click on the green ‘CSV’ button and the report will be available to view

Where can I find a list of my unverified/unregistered parents?

 

Go to Reports in your left hand menu and then select General Reports. From here you will see a list of reports. Select the report called ‘Parent – Connection Status Report’ and then click the Generate button. After a few seconds, you can download the report by clicking on the green CSV button which will appear when it’s ready.

Parent has tried to register but receives the error ‘DOB invalid’?

Please ask the parent to confirm if the DOB that you hold in ParentMail matches to the DOB they are entering. If not, please update in ParentMail and your MIS and ask them to try registering again.

If the DOB is correct, please ask them to try registering on a different device to that they have already used. For example, if they have used their mobile device to register, suggest for them to use a computer instead or a different mobile device.

If the above does not work, please go to Users > List > find the student > change the DOB to a different date > Save > go back into editing the DOB and change back to the original date > Save > send another registration.

If this does not work, please delete the student record and re-add the student as a new user. You will need to link the student to the parent and resend a registration link to the parent.

A parent is trying to register but receives the error ‘Email address already in use’?

Please ask the parent to go back to the first stage in the registration process and click ‘I already have a ParentMail PMX account’ instead of ‘I don’t have a ParentMail PMX account’. If they can’t remember their password, they can click ‘Forgotten your password’ to reset their password and then try connecting again.

If they have never registered before, please search for the email address in Users > List. If the email address is listed against the wrong parent, please make the change here by removing the email address against the wrong parent and add the email address to the right parent.

A parent is trying to register but receives the error ‘Mobile number already in use’?

The mobile number they are registering with is most likely listed against another parent in your PMX account. Please search for the number in Users > List and make the relevant changes to ensure the right parent has the correct mobile number. They can then try registering again.

Many of our parents share an email address. Will they be able to connect through one account?

Each user on ParentMail must have their own unique email address or mobile number. Many parents share an email address and if this is the case, only one of them will be able to have an account with that email address.

If they would like their own account to log into, you will need to advise them to give you a different email address to register with.

Receiving your registration text

Once you have sent the registration text, the parent will receive the text below. They will need to click on the link in the text to register their account.

The parent will then be asked to enter a date of birth – they will need to select the date here and click ‘Verify Now’.

The parent will then need to check through their personal details – they can change these by typing in the boxes and overwriting any information that is displayed.

After this, they will need to create a password and enter it (twice, to ensure there’s no spelling mistakes!) then click ‘Complete Registration’.

Success! They will now receive messages for all their child/ren at your school. Don’t worry if they have more than one child at this school as they will now receive messages for both/all.

A parent will receive a mobile registration link if you hold a mobile number for them in your ParentMail account.

If the parent has previously registered for PMX ParentMail, they will need to follow the instructions below to connect as an existing user.

Receiving your registration text

Once you have sent the registration text, the parent will receive the text below. They will need to click on the link in the text to register their account.

How do my parents register via email as a new user?

A registration link can take a couple of minutes to be delivered to the parents’ mailbox. The parent should have received an email that looks like this:

If they have received this email, they will need to click ‘Register’. If they haven’t received the email, the email could possibly be found in their Spam/Junk folder. Please ask them to check here and ensure they have changed their settings to mark ParentMail as a safe sender. They should also add info@parentmail.co.uk to their contact address book to avoid missing out on emails.

Registering their account

Once they have clicked ‘Register’ they should see this window:

How to register with ParentMail as an existing user via email

What happens to the user (parent/staff) account if they no longer use it?

Connected users can delete their account via their ParentMail account by following these instructions.

Alternatively, if they were removed from an Organisation (your school), have no other connections (to other schools) and have been inactive for 30 days, their account will be deleted. An inactive user account is classed as a user record which has zero connections.
