How do I view, print or download responses to forms?

Select ‘Forms’ from the left hand menu and then ‘Responses’ from the sub menu. This will open a list of all sent forms – scroll up and down the list or use the search function to find the form you wish to view responses for. When a new response comes in, a green dot will appear next to that form.

Click your chosen form and a report will appear on the right hand side. You will be shown a line graph and a pie chart which will help you track your total responses. You can see more detailed statistics regarding your form responses such as a breakdown of each question by clicking on ‘Actions’ and then ‘Reports’. The ‘Actions’ button can also be used to edit or delete the form.


As seen in the above screenshot, you will see who has responded, and who is yet to respond. To view an individual’s responses, you can click the ‘View’ button to the right of their name.

The ‘Email’ button will allow you to email all those who haven’t responded to remind them that the form needs to be completed.


How do I mark forms as complete?

When a form is completed by a parent either online or by using the ParentMail App, it will be marked as completed automatically. However, some recipients may not have email addresses registered on their account and will be sent paper copies.

When you receive forms back via paper copy you can mark these as complete manually on the system, allowing you to analyse them along with your other responses.

To do this, find the form you wish to mark as complete and select the Mark as Completed icon. All completed forms will display a tick next to them.


How do I run a report in Forms?

To run a report on your form, go to ‘Forms’ on the left-hand menu and then ‘Reponses’ in the sub menu.

Select the form and press the green ‘Actions’ tab in the top right hand corner, select Reports in the drop down. This will then give you a popup box in the middle of your screen (shown below).

We have 3 reports available

  • All Responses Submitted for this Form – This allows you to easily see EVERY answer provider and other key information like who has completed the form and when.
  • List of people yet to respond – This will give you a full breakdown of everyone who hasn’t responded to the form.
  • Statistics Related To Responses For This Form – This will provide you with statistical information for questions in the form. This is only available for the ‘Selection Box’ and ‘Check Box’ options.

Once the report has generated, you will have the option to download the results, simply select the CSV or PDF option.


If I have paper copies of Forms, where should I put the results?

It’s important if you generate a paper form for a parent, that the results are loaded into your ParentMail system, this way all responses are held together to allow for accurate reporting.

To respond on behalf of a parent, go to ‘Forms’ on the left-hand menu and then ‘Responses’ in the sub menu. Select the form you wish to complete and find the student in the list.

Click on the ‘Respond’ option in line with the students name, this will then open the form up on screen and allow you to respond on behalf of the parent.


How can I print an individual form response that has been submitted?

To do this, you will need to go to Forms > Responses > click onto the Form > find the student within the Recipients and you should see a ‘View’ option:

After this, you will see the option ‘Download’ to click onto:

This will download a PDF document to your browser, for you open and view.


How can I print blank copies of a form?

You can do this by going to Forms > Responses > click onto the Form > Actions > Download:

This will automatically download a PDF file to your browser that you can open and print.
