How do I book my parents’ evening appointment online?

If your school are using the Parents’ Evening Manager Application, you will be able to book Parents’ Evening online through your ParentMail Account or through the free ParentMail App. If you have received an invitation to book parents’ evening, it will appear as a notification in your feed.

Once you have opened the invitation, you will be presented with the parents’ evening booking form. This will tell you further information about parents’ evening – such as the location, the dates and the “session status”. You will not be able to book your parents’ evening appointment unless the status shows as “Accepting Bookings”.

If you are able to book Parents’ Evening now, select the date you would like to book. Depending on your school, there may be one available date, or several. You will be able to see this by using the drop down box.

Once you have selected the date, please click ‘View/Book Appointments’; here you will be able to view the available appointments to book, with the times and teacher available. To book an appointment, simply click on the slot in question, then click on an available time to book.

If the school have enabled this functionality, you will be able to add a note for the teacher by clicking on a booked time slot then clicking ‘Add Note’.

How do I book my parents' evening appointment through the mobile app?

iOS App 

If your school are using the Parents’ Evening Manager Application, you will be able to book your parents’ evening appointment online through your ParentMail Account or through the free ParentMail App – these instructions will guide you through how to book your appointment through the mobile app on an Apple device.

If you have received an invitation to book parents’ evening, it will appear as a notification in your menu. You will need to click on ‘Parents’ Evenings’ and you will see the evening appearing in the feed (Example shown below)

Once you have opened the invitation, you will be presented with the parents’ evening booking form. You have the option of ‘Subjects’ or ‘Info’ tabs.

You will automatically be placed where you can book the appointments. Here you can see the list of Subjects that you can choose from:

To book an appointment, please click onto ‘Book Now’ and you will be displayed with a list of time slots that are available:

Click onto ‘Book’ on the time slot you would like to attend and it will show the time slot as your current booking:

If you try and click onto a different time slot, you will get the message ‘The student is already booked with this teacher’.

Instead, you will need to click ‘Cancel’ and then you can book another time slot.

If you click onto ‘Info’, you will be displayed with information about the Parents Evening. This includes ‘Location’, ‘Phone Number’, ‘Actions to Request Alternative Appointments’ and ‘Email My Appointments’.

Android App 

If your school are using the Parents’ Evening Manager Application, you will be able to book your parents’ evening appointment online through your ParentMail Account or through the free ParentMail App – these instructions will guide you through how to book your appointment through the mobile app on an Android device.

If you have received an invitation to book parents’ evening, it will appear as a notification in your menu.

Once you have clicked onto Parent’s Evening, you will then see the evening that is available for you to book.

How do I view my parents’ evening appointment through the mobile app?

To view your booked appointments, go to the App and go into the feed > Parents Evening > click the session and you can view your booked appointments:

You can then change booking for any or go into Info to email your appointments.

How do I email my appointment times to myself?

Click into the evening > go to the session you have booked for > click Info > Email My Appointments.

Here will be displayed an input box where your ParentMail email address will be pre-populated already. You can click into this field to change the address:

Once happy, click Send and you will receive a ‘Success’ message on iOS or ‘Appointments Sent’ message on Android. If the email address is incorrect, it will display an error.

What do I do if I book the wrong appointment?

If you have booked the appointment by mistake, or can no longer make that appointment, simply click on the slot in question, then click ‘Cancel’ and you will be able to book another appointment.

How many appointments can I make?

Depending on how many teachers your child has, you may be able to book one, or multiple appointments. Your school can decide if they want to limit each parent to one appointment per teacher per student. If you cannot make more than one appointment, the options will be grayed out and you will not be able to select them.

How can I view the appointments I have booked?

When you are finished, you will be able to print all the appointments you have booked, or email them to yourself/a partner. To do this, click Actions in the top right hand corner and then select Print Appointments or Email Appointments.

You can also view all the appointments you have booked, by selecting “View / Book Appointments”. This will show you a list of all the appointments you have booked.

Can I leave a note to my teacher ahead of the evening?

Your school may allow you to leave notes on your booking – if this is the case, you will see a white button appear on your booking which says “Add note”.

This is so you can let the teacher know what you would like to discuss at Parents’ Evening. For example, it may be that you’re worried about your child’s spelling, so here you could type, “I would like to discuss Sarah’s spelling progress and the homework she is being set to improve this.”

How do I know if someone else has booked the appointment I want?

The booking process updates in real time, so as soon as an appointment is booked, it will be grayed out and you will no longer be able to select it. As with any parents’ evening booking process, the sooner you view and book your appointments, the more likely you are to get the appointment you want.

What if I want longer with a certain teacher than is available?

If this is the case, we would advise you book the initial appointment you want, and then contact your school to see if there is the option to extend this appointment time. They will be able to manually book out more appointments for you, should they wish to give you longer with this teacher.

When I go to book an appointment, nearly all of the options are already grayed out?

Unfortunately this means other parents have already booked these appointments, making them unavailable. You will only be able to select the appointments which are available.

Our school is using Parents' Evening Manager, but I don't have any sessions available in my account?

Please contact your school immediately, they will be able to reserve an appointment slot for you over the phone.
