With over 5,000 students across all campuses, communicating home was not only a time consuming task but also incredibly expensive!
With all communications coming from a single department supporting five different campuses, previously all communications from Activate Learning were sent out via paper and postage. With over 5,000 students across all campuses, this was not only a time consuming task but also incredibly expensive for the business!
Group Administration Manager, David Chatterley, told us, “In the last two months we’ve sent over 9,500 messages through ParentMail, which would previously have gone home as printed letters, posted home. We have the ability to ‘frank’ our own post which helped cut the costs a bit, but for each second class stamp we would pay 35p, for envelopes we’d pay roughly 3.5p each and let’s say 5p for paper and printing costs. As a rough estimation, for all the messages we’ve sent in just the last 2 months, this would total over £4000.”
As well as substantial cost savings, ParentMail has also allowed Activate Learning to save hours of time each week, previously spent printing, collating, stuffing into envelopes, franking and sending home – now it’s all done online and takes a fraction of the time it once did!
Activate Learning is a pioneering education group. Based in Oxford, with a global reach, the group comprises of secondary, further and higher education, apprenticeship and business training.
ParentMail is recognised by nurseries, schools and clubs for helping improve parental engagement from early years right up till sixth form – but also works with colleges and multi academy groups. Activate Learning is a fantastic example of how larger organisations can improve communications but also save thousands of pounds monthly and hours upon hours of administration time!
With roughly 70% of learners under 18, Activate Learning send a variety of messages home, such as information about work experience placements or online courses, subject specific project work, updates on trips, attendance and behaviour updates, meetings updates etc. Managing communications for both college and school divisions means they are reaching both the parents of students and sometimes the student directly.
David told us, “We’ve noticed a real difference in how responsive parents and learners are to the messages we send home now we’re sending them via ParentMail – a good example of this is our recent parent – teacher meetings. Previously, we would send letters home and request calls in and manually input meeting times into a spreadsheet. This year, we sent a message via ParentMail and received calls within minutes – so soon in fact that we hadn’t even begun to set up our spreadsheets yet; it was almost too efficient!”
Now the College group are looking forward to using the Parents’ Evening Manager application within ParentMail to allow the administration to look after itself, freeing up even more time for the team!
David said, “Almost overnight ParentMail has made a considerable difference to how things are done here – not only with the obvious time and cost savings we have made but with the engagement with parents and learners. We’ve been able to improve our communication simply because of how easy it is to do now!”
“With so many students, moving from paper based to digital communications was a risk, but the ParentMail team have worked with us since day one in order to ensure a smooth transition and we’ve had nothing but fantastic feedback from all our campus sites. I would highly recommend other colleges/ college groups to consider a system like this – I’m sure they’ll thank me later!”

Is this approach counter-productive to improving parental engagement?
There’s now a platform for almost every type of communication schools would want to send to parents and over time they have increasingly bought in to several different systems to meet their requirements and improve parent teacher communication.
However, the problem with multiple systems is, with several logins, passwords and websites to use and remember, life quickly becomes time consuming and complicated for parents – and this can be further compounded if they also have children at other schools. The danger is, parents can stop using systems and schools may find themselves having to revert to traditional methods in order to reach their parents.
Communication technology has quickly become popular in schools because it has streamlined many daily tasks and helps reduce costs. For parents, searching for change or the cheque book, remembering to sign forms, having to come into the school office to book parents’ evening appointments or trusting your children to do it, are just a few examples of some headaches technology has removed.
So what’s the solution?
Schools need to think carefully about their communication strategy – not just about the benefit to the school but about parents too. A simple solution is to look at consolidation of software – multiple services that can be provided from a single platform.
By making processes simpler for parents, schools then see a quicker and more thorough response, meaning they can spend less administration time chasing parents for the information they need.
Thames View Infants, The Brent Primary School and Astor College are just a few of the schools who have decided to consolidate their systems and do everything through ParentMail, where they can communicate, collect payments, record student absences, organise parents evening and collect online forms.
“Initially, we were looking solely at online payments systems, as we already had a system in place for sending emails and another for sending texts” The Brent Primary School’s Business Manager Dan Baker told us. “It was clunky, but it worked”.
We went from using separate systems for emails and texts, collecting payments physically and continuing to send letters and forms home, to a “one stop shop” doing it all through ParentMail – and parents and staff love it.”
Many schools are using several systems as a result of purchasing software to meet one requirement at that time, and now find they’re using two, three, four or more systems to communicate with their parents, students and staff.
If, like other schools, you’re keen to simplify processes for parents and for school administration staff, consider consolidating your communications software into one – get in touch today for a free demonstration to see just how simple it could be. Over the last few years, the way we pay for things has changed dramatically, from cash and cheques, to debit and credit card and most recently to cashless, mobile and contactless payments.
Over the last few years, the way we pay for things has changed dramatically, from cash and cheques, to debit and credit card and most recently to cashless, mobile and contactless payments. Each new technology smooths the process – but what does this mean for schools?
Invariably, when a school contacts a parent it’s because they need them to do something, attend an event, collect lost property or pay for something, and the best way to ensure it is done is by making it as easy as possible for parents to respond. We know from working with schools over the past 15 years, that a key consideration when evaluating new systems for parents is ease of use. Why? Because by making life easier for parents, schools get a much better response.
New services such as PayPal have become increasingly popular, now used by more than 20 million people across the UK. Its ‘frictionless’ service means users can make faster, safer and easier payments than ever before.
ParentMail actively designs its services to be easy and simple to use for both schools and parents, and its all new online payments platform delivers this. As well as being the most reliable, cost effective, socially inclusive online payments system available on the market, it also offers a free mobile App for parents as well as PayPal, meaning payments can be completed from the comfort of an armchair – or on the go – in literally seconds.
Dawlish Community College, a secondary School in Devon, who have been using ParentMail since 2014, have first-hand experience of the effect of the winning combination of a mobile App with PayPal:
Nicky Cruickshank, Finance Officer at the college told us, “PayPal has been a very popular choice for many of our parents with 40% of them choosing to pay this way. It means they don’t have to remember card details and can make the payment in seconds on their smartphone.”
ParentMail Payments Director, Martin Temple, told us “Launching our all new payments system, including PayPal as a payment option for parents, was an extremely exciting thing for us to offer schools.
PayPal has been a payments option for schools for several months now, and we’re really pleased to see that it’s the choice for many of our parents. With an App which allows parents to top up dinner money or pay for a school trip with just a few taps, it makes sense that busy parents would want to use a quick and easy payment option like PayPal, which doesn’t require them to remember their card details.
“We’re very proud to be the only online payments system which offers PayPal as an option and we know that for many schools, having a socially inclusive payment platform is incredibly important.”
With parents able to make payments quickly, it means a happier school office with less cash handling, chasing payments and less time spent on administration: “Our parents have told us that they really like the convenience of being able to pay ‘on the go’ and not having to send in cash/cheques” Nicky told us, “Parents are now immediately notified of any items which require payment and can action this, wherever they are, instantly!”
If you’re a UK school or college interested in offering your parents a quick and easy way to top up dinner money or pay for school uniform, get in touch today and we’ll show you how easy it could be. Contact us on 01733 595959 or email firstname.lastname@example.org

“Now we’re reaching parents on their smartphones and they’re more engaged than ever before.”
After years of spending many hours preparing paper communications, hundreds of pounds each year on paper and photocopying to find that many letters and forms never even made it home, let alone made it back into school, Hemingbrough Community Primary decided it was time to go digital!
Joining ParentMail earlier this year, Hemingbrough Primary are using the full suite of services as well as the school branded App for parents to download – something that has gone down very well with everyone! Now, 98% of parents are receiving messages, completing online forms and booking parents’ evening all from the school APP on their mobile phones.
Business Manager Sarah Read told us, “Though the time and cost savings of a system like this are great, actually, just being able to guarantee that communications are being delivered straight into the hands of parents is the biggest benefit for us. Previously, we had such difficulty reaching our parents because paper letters just never made it home. Now, we’re reaching them on their smartphones and they’re more engaged than ever before.”
The online Forms application has been the outstanding application for Hemingbrough, going from a trickle of responses to more than 60% of parents now completing and responding the very same day. Many of the forms now sent this way get a 100% response rate within 48 hours!
Sarah said, “We send dinner menus each week, permissions for photographs or walking home, club forms and more, and usually within minutes of them being sent we see the responses coming back in. Now that we’ve allowed parents to complete forms on their smartphone, the turnaround time is quicker than ever before!”
With their own school branded App, a suite of services and a way to engage with parents directly, Hemingbrough Community Primary are extremely pleased with ParentMail and the difference it has made with their school communication; “I can easily say ParentMail is the best purchase we’ve made in years and would strongly recommend other schools try it!”

“We recognise how much technology is helping and we wanted to use the best system on the market to help us .”
Based in East London, Thames View Infants has a complex demographic, with 43 different languages spoken within the school, as well as high levels of social-deprivation.
Despite this, the school was appointed as a National Leader of Education in 2014, has been rated ‘Outstanding’ twice by OFSTED and has some of the highest end-of-Key Stage One results in the country.
One thing the school is extremely passionate about is engaging parents. Head Teacher, Paul Jordan, told us, “We need to be able to reach parents easily and reliably and paper just wasn’t doing that for us. We recognise how much technology is helping schools to bridge that relationship and we wanted to use the best system on the market to help us do that – which is why we chose ParentMail.”
With the aim of getting 95% of parents on board in the next few months, Thames View Infants will quickly make significant savings in paper costs and plan to be completely paperless before the end of the year.
Paul told us, “Previously, we were sending out newsletters, weekly summaries of learning, details of our many family drop-ins, information about clubs and visit consent letters – whatever was required to keep our families up to date and informed with their child’s education. But when we looked at the expense, we realised that we were spending £18,000 a year to do it, which is an awful lot of money!
So we looked at other ways to send this information home, and we quickly realised ParentMail would allow us to do it all and more at a fraction of the cost and time. We’re now communicating more, actively reaching more parents and saving money and time in the process. The money and time we are saving, we can use in other areas of the school – for example, to help our children progress, so it’s fantastic for us.”
The school has made further savings by consolidating the number of systems they used to communicate with parents, and doing it all through ParentMail; “Initially, we were using ParentMail to send our newsletters home, another system so parents could book parents’ evenings and another so parents could pay online – and still sending forms home by paper. So we were paying for three systems and still managing the cost of printing and photocopying.
“Now we’re sending it all through ParentMail, and our parents can do everything on their smartphone. They can pick up messages, contribute to school visits, complete a permission form, book a Parents’ Evening appointment, pay for school dinners, select their preference for an After School Club, all from one place, and in just a few taps!”
The school is very happy with the progress they’ve seen with more parents engaging with what’s going on in the classroom, and say ParentMail has played a vital role in their on-going vision of “valuing parents as partners”.

Astor College were keen to find a way to communicate to parents which would save money – and ParentMail was the answer.
Previously using a texting service costing over £2,300 each year, frequently spending £500 on whole-school postal mail outs and still sending home general letters, forms and parents’ evening invitations, Astor College were keen to find a way to communicate to parents which would save money – and ParentMail was the answer.
Despite using a text service, there were many letters the school couldn’t use it for so continued to send them home by paper, meaning the cost of paper, printing and post mounted up in addition to their service cost. In just 3 months of using ParentMail, the school has noticed substantial cost savings despite sending more communications home than ever; they predict they will save over £5,000 within their first year.
Now sending texts, emails, online forms and parents’ evening invitations home electronically through one system, the schools have saved hours of time, thousands of pounds, and improved their relationship with parents.
Office Manager Lisa Penn told us, “We are overwhelmingly impressed with ParentMail – being able to send out information in this way makes such a difference when you have to manage communications to nearly 1,000 students and when we looked at the cost savings we were making, it really confirmed that we had made the right decision. We are also very impressed with how easy the system is to use and the support we have received from ParentMail to get up and running.”
“If you add up the cost of our old text service, as well as the amount of paper we were buying, printing, photocopying and posting – it really is an astonishing amount of money we’re now saving thanks to ParentMail.”
And it’s not just the school who love the new way they’re communicating! Lisa told us, “Parents absolutely love ParentMail and the feedback we have received so far is very positive. They love being able to read messages, respond to forms or book parents’ evening appointments from their smartphone! It’s such an efficient way for them to keep on top of their school needs.”
Parents Evening Manager in particular has been a huge benefit to Astor College, removing the need for 1,000+ sheets of paper to come in and out of school, and hugely simplifying the process for everyone involved. Once a dreaded event to organise, Astor College now can’t wait for their next parents’ evening!
Improved parental engagement, huge cost savings and a happy school and parents – just what we like to hear at ParentMail! According to email provider Sendmail, 90% of messages in our email inbox are spam, discouraging many of us from reading our emails!
“Email is not the enemy of productivity, but the time we spend processing it is.”
Back in 1991, there were only three million email accounts – a figure that’s since climbed to more than 3.1 billion, according to figures from eMarketer. Today, there are more than 90 trillion messages sent to and from those accounts each year.
However, according to email provider Sendmail, 90% of those messages are spam, and although filters sift out the majority of junk, the average inbox is still filled each day with new clutter – which is discouraging many of us from reading our emails.
It would be fair to say that for many people, receiving emails has become far too much like hard work – having to move messages from our inbox into separate folders in the hope we’re not missing anything important in a mass of spam.
Sanctuary from the madness of email
For parents, there simply isn’t time to search through hair product advertisements and “50% off” emails to find those important messages from schools. It’s likely that these rare, yet important emails get lost in an ever-growing world of spam, which means your communications from school to home aren’t as effective as they once were.
With the latest version of ParentMail, parents can download a free APP where all their messages are safely stored away from the hubbub of email. It means they can instantly receive school messages, event invitations, forms to complete and even make payment for school bills without the need to search through a busy email inbox. The fact that all this can be done on a mobile phone or tablet, means parents can respond immediately and conveniently and that message alerts come through in real time so there’s never a delay.
At ParentMail, we like to make things easy for parents, so that schools get a better response. By making it as simple as possible for parents to pick up important messages, it means information is read, and actioned, instantly.
Our new parent App is now being used by 300,000 parents with nothing but positive feedback from schools and parents – with one school telling us, “One father actually came into school to tell us that he had received the notification on the App and booked his parents’ evening appointments instantly – completing the whole process in less than 5 minutes. He couldn’t believe how easy it was.”
Don’t let important school messages become ignored or lost in busy inboxes – contact us at firstname.lastname@example.org today to find out how we can ensure parents receive everything right into the palms of their hands at the moment you send it.

Parents can complete school forms, give consent and complete surveys all from their mobile phone, tablet or computer…
Many schools recognise that using technology to improve communications with parents not only saves time and money, but makes life easier for parents. Though many schools use email and text to communicate to parents, many still send forms, permission slips or surveys home requiring information or a signature back from parents home via pupil post.
With ParentMail’s latest application, Forms, Permissions and Surveys, parents can complete school forms, give consent and complete surveys all from their mobile phone, tablet or computer – which means it’s easier for parents to reply, and schools get a better response.
St Paulinus RC Primary School had been used to just a few per cent of parents replying to questions and surveys they sent out so were staggered when 85% quickly replied to an online form they sent using ParentMail’s Forms, Permissions and Surveys App.
The first form that Lynne Green, Business Manager for the school, sent was to find out how many parents were interested in sending their child on a school trip. In the past, receiving the forms back from parents could take some time, and on one occasion there were no responses at all. But, with the online forms app, Lynne received 60% of responses overnight – meaning she could book the trip the next day. “With parents able to complete forms on their computers, tablets or mobile phones, it’s very easy for them to respond.”
The first questionnaire Halterworth Primary School sent about holiday childcare received a 60% response – with paper copies, School Admin Officer Alison Tanner explained, “We would have had a very low response rate.”
Their next survey did even better. Alison told us, “Within 10 minutes of sending our second questionnaire on free school meals for infant children, I had 20 completed responses and it wasn’t long before 80% of parents had replied. We certainly wouldn’t have received any that quickly before, it simply wouldn’t have happened with paper copies!”
Parents have reacted well to the online questionnaires, and many have contacted the school to say it would be useful to also collect permissions for trips and other information needed by the school. “Our parents are extremely busy but also very supportive,” says Alison, “having forms and surveys online not only saves the school a lot of time but also the parents.”
Dinner Booking Forms
With the free school meal initiative coming into force late last year, Quainton Primary School were worried about how they would keep on top of all the extra work. Luckily, they found the perfect solution with the new Forms Application.
School Bursar Sarah Collier told us, “Previously we had to manually count meal choices on every form sent, which as you can imagine, was very time consuming. Within an hour of sending out a form through ParentMail, 50% of parents had replied. We’ve really noticed an increase in the responses we’re getting back from parents now they can complete them online, which means we don’t have to spend time chasing!”
With ParentMail’s Forms, Permissions and Survey’s application there’s no limit to the type of form or survey that can be created by schools, from injury forms to consent, collecting parent/guardian details to trips and more. Working as a standalone application or in conjunction with ParentMail’s other applications; schools can make substantial cost and time savings. Many schools regularly raise awareness of global environmental issues and try to promote living “greener lives” to their students.
Many schools regularly raise awareness of global environmental issues and try to promote living “greener lives” to their students. From learning about recycling to promoting “walk to school week”, we’re all aware of the need to do our bit to help save the planet.
But how can your school contribute further to becoming environmentally friendly? Many schools are already doing it and may not even realise….
During May for example, schools sent 15 million emails home to parents digitally through ParentMail – that’s at least 12.5 million pieces of paper that were saved. Add to that a further 3 million text messages that were also sent, and you’re well on the way to saving several trees! That’s not taking into account the amount of attachments, permission forms, parents’ evening slips and more that would usually be put into a school bag and never even make it home.
During May, April and March combined, schools sent out 40 million messages electronically to parents. So it’s fair to say in a year, schools using ParentMail are saving at least 144 million sheets of paper. We’ve gone from saving a few trees, to saving a small forest!
Not only are these schools contributing to a greener planet, they’re also making cost savings each month of £50,000 – £100,000 – eliminating the need for paper, printing, photocopying and posting letters home.
If all that wasn’t enough, schools are also finding that sending information home to parents digitally means that it’s far more likely to get read, and responses to forms, permissions and surveys are far higher when they can complete them from an App on their smartphone.
If your school would like to help save the environment, saving money in the process and improving the response from parents, please contact us at firstname.lastname@example.org to find out more.

We’ve come up with some top tips to help clubs cut back on admin time and communicate easily with parents.
Running a club can take a lot of organising, and reaching every child’s parent to let them know of time changes, match locations, cancellations, payments and more can be a stressful task! We’ve come up with some top tips to help clubs cut back on admin time and communicate easily with parentRunning a club can take a lot of organising, and reaching every child’s parent to let them know of time changes, match locations, cancellations, payments and more can be a stressful task! We’ve come up with some top tips to help clubs cut back on admin time and communicate easily with parents:
- Spend less time and money printing paper forms and documents, and send messages electronically to your parents – where they can read it on their mobile, tablet or computer at any time.
- Keep parents happy by texting them to tell them if an event has cancelled last minute, by using our Text app. Simply type your message and send to all your parents, reaching them before they leave the house and turn up to an empty room or field! You can also view your sent items and keep a track of how many texts you are sending.
- Telling your parents information at the beginning or end of an activity doesn’t always mean they will remember! Parents are busy, with 101 things going on, so when you tell them to bring something next week, they’re likely to forget! Use ParentMail to quickly email a message which they can pick up on their computer or mobile phone at any time.
- You can also set reminders (just in case they do forget!) So when you create your email, set an automatic reminder to be sent to them on the morning before their club starts.
- Need permissions for photos? Our Forms, Permissions and Surveys app means you can send a permission form to their phone (or tablet or computer) meaning mum or dad can complete it instantly and send it back to you. No need for paper going missing!
- For larger clubs, receiving payments can often be a struggle. With ParentMail +Pay, we take the stress away from you. Parents can receive a reminder when a payment is due, and simply log in and complete the payment online. No more chasing cheques or carrying loose change!

We know that many schools offer a wide range of sports clubs, but are your parents aware of them?
With the World Cup, Tour de France and Wimbledon taking over our television screens recently, children all over the UK have been inspired to take part in lots of different activities, encouraged by schools especially during National Sports Week.
However, Ofsted chief inspector Sir Michael Wilshaw recently said that state schools denied competitive sport, arguing that too many professional athletes come from private schools. He went on to say that head teachers of state schools needed to stop treating competitive sport as an ‘optional extra’. The National Union of Teachers responded to this, saying Ofsted’s comparison between state and private school sport was “ridiculous”.
Another report from Helen Fraser, chief executive of the Girls Day School Trust (GDST), said that girls in particular, should take part more in competitive sport to build confidence and resilience. She concluded stating research that girls are far less active than boys is worrying.
According to the report, “research from the Women’s Sport and Fitness Foundation suggests only a quarter of girls in England meet current recommended levels of physical activity each week, with the proportion taking part in regular sport falling steeply after the age of 10.” Furthermore, it showed that one in five girls do no physical activity at all, twice the proportion of boys.
We know that many schools offer a wide range of sports clubs, whether that’s in lunchtime or after school – but are your parents aware of them? Sending letters and timetables home by pupil post can often result in information being left in the bottom of a school bag, meaning many children could be missing out on getting involved with sports.
With ParentMail, you can alert parents of new clubs, sports timetables and even cancellations all with our email and text system which goes straight to their computer or mobile phone. This information, received instantly by parents, could improve the uptake of children in your school getting involved in sports clubs or other extra-curricular activities.
And of course, our Forms, Permissions and Surveys app means you can get permissions in minutes, ask parents for feedback on clubs and complete registration forms instantly – all with a few simple clicks of the mouse! And don’t forget, simple online payments like our +Pay service could make collecting money for club membership even easier!
